+ The Administrative Document Receiving Division guides Organizations/citizens to implement procedures as stipulated, write receiving tickets, confirmation tickets.
+ Transferring Documents to the Foreign Economic Relation Department to keep as archives.

- Letter of Appointment signed by competent representatives of parent companies
- Contracts of labor, curriculum vitae of staff in Representative offices.
- Notarized copies of Establishment Licenses of Representative offices, branches granted by competent agencies.
- Copies of passports, personal details of foreigners.
* Notice of the first time post-license operations (for the case of being licensed by the Ministry of Industry and Trade, Departments of Industry and Trade).
- Notice of operation according to the form (02 Vietnamese copies)
- Receipt of writing or online newspapers agencies of receiving the registration of notice of operation of Representative offices or other papers proving the publication on newspaper;
- Copies of certificate of registering seal models of Representative offices granted by police;
- Copies of account opening registration of Representative offices at Bank permitted to operate in Vietnam;
- Copies of documents include: Contracts of labor, of staff working in Representative offices.
* Notice of changing places to set up headquarters of Representative offices (for the case of not being licensed by the Ministry of Industry and Trade, Departments of Industry and Trade):
- Notice of changing headquarters according to the form (submitting 02 Vietnamese copies).
- Copies of place lease contracts to set up headquarters.
* Notice of changing heads (for the case of not being licensed by the Ministry of Industry and Trade, Departments of Industry and Trade):
- Notice of changing heads according to the form (submitting 02 copies)
- Letters of parent companies signed by competent persons inform the change of heads
- Copies of approval documents of licensing agencies permit the change of heads (if any)
- Contracts of labor, curriculum vitae of new heads
- Copies of papers proving the completion of tax obligations of old heads.
* Notice of changing personnel (for case Representative offices managed by Hanoi Departments of Industry and Trade):
- Notice of changing personnel according to the form (submitting 02 copies)
- Contracts of labor, curriculum vitae of new staff
- For left employees: Copies of papers proving the completion of tax obligations of old staff
